Minutes of October 18, 2017 Board Meeting

Meeting called to order at 7:00pm.

Present: Peter Aten, President; Marlene Sullivan, Vice-President; Jean Heath, Treasurer; James Tucker, Secretary.

Other Board members welcomed Jim Tucker to the board.

Minutes to the annual meeting were accepted by unanimous consent. 

Jean Heath presented the Treasurer’s report.  Dues notices have been sent out, and some dues received.  Current bank balance is $12,869.67 with the bill for brush cutting still outstanding.

Discussion then turned to current road conditions.

  • The main road has remained dry and washboarded
  • A section of the main road near Rt 9 has rocks sticking out and will need extra material during road grading in the spring.
  • Work to cut back growth on the main road, authorized at the annual meeting, is in progress
  • Peter contacted our usual contractor for brush cutting to do just Eagle Cove Rd., but the contractor determined that it would not be cost effective to bring in his equipment to do just that short stretch of road.
  • Signs have been erected on either side of the new bridge, stating “Slow - Single  Lane Bridge Ahead”
  • Marlene spoke with the paper company who indicated they would grade when done with logging.
    • They will be logging through November
    • Marlene got a commitment from them to grade first thing in the spring
    • Marlene confirmed that Randy Madden will do the work.
    • This should eliminate the need to have the association pay for a separate round of grading in the spring, so we will let Herb Jordan know.
  • There is a big tree which appears ready to come down near Bloods.  Marlene called Debbie Bourgoyne from the paper company, who asked Randy Madden to push the tree over at no charge to us.


Follow up on Annual Meeting Action Items

  • Jean researched material options for road grading
    • Calcium - $2K per ¼ mile.  We agreed this might make sense to experiment on Shorey Brook hill
    • Need better gravel, that will erode less.  This is more expensive.
  • The board agreed to look into options for other contractors
    • Randy Madden - quoted $100/hr for grading
    • Randy Perry and Marcus Norton are two other contactors we will be contacting


The board agreed to meet again in March.  Peter will send out a reminder.
