June 14, 2017 Board Meeting

In attendance: Peter Aten, President and acting Secretary; Marlene Sullivan, Vice-President; Jean Heath, Treasurer

Meeting called to order at 7:00pm

Prior Meeting Minutes were unanimously approved

Treasurer’s Report

5/31 $14,870.67 balance

Bill for road grading not received yet

Road Conditions

• Roads were graded on May 23
• Peter spoke with American Forest Management (AFM) yesterday.  Work to install the bridge to replace the Shorey Brook culvert is tentatively planned to begin Monday, July 17 and last for approximately one week.  This work will completely block the road for the duration.
• AFM also communicated that logging will begin this week and last throughout the summer.  They will plan to grade afterward, weather permitting.

Annual Meeting

• Peter confirmed availability of the town hall with Neil Butler
• Road Maintenance discussion
• The Board would like to have a discussion with attendees regarding causes of additional wear and tear on the road
• The Board also recommends that we plan for 2 gradings per year going forward
• Jean will follow up on the cost of spraying calcium chloride on the road
• Peter to follow up with AFM to see if they will donate gravel
• Assessment
• The Board will recommend that we not increase the annual assessment for 2017, but with additional maintenance the Board will track expenses closely and may recommend an increase in the future.
• Board Election
• All Board members are up for re-election this year
• All current members are planning to stand for re-election
• A potential replacement to fill the open Secretary position has been identified
• Anyone interested in serving on the Board is encouraged to attend the meeting
• Annual Party
• Jim Tucker has volunteered to again host this year’s annual picnic
• Mailing
• Jean provided Peter with the Treasurer’s Report and mailing address list
• The mailer is drafted; Peter to update with Shorey Brook bridge info and send to Jean and Marlene for review

Next Meeting will be the annual meeting on August 5.
