Minutes of June 5, 2019 Board Meeting

Present: Peter Aten, President; Marlene Sullivan, Vice President; Jean Heath, Treasurer
Not Present: James Tucker, Secretary

Treasurer's Report
As of the end of May the total bank balance is $15,178.04.  One lot (#68) has dues outstanding.  Treasurer's report was accepted.

Road Conditions

  • The road was graded later than usual due to the weather, on May 23.  It was muddy and rutted in spots the following weekend due to rain immediately after grading. Peter will follow up with the contractor to see if this could have been avoided.
  • A lot of material was added to the hill immediately south of Route 9, which was previously very rocky.  There are still some rocks visible.
  • There is again evidence of road material pushed to the side of the road due to winter plowing.
  • The contractor recommended spreading calcium on Shorey Brook Hill to reduce washboarding and material loss.  Jean will look into costs and acquiring a spreader so that the association can do this ourselves.
  • In line with prior annual meeting discussions, the board will plan for a 2nd grading in late summer/early fall.
Annual Meeting
  • The mailing must go out on June 15 or later.  Peter will draft and circulate the mailing for review, and take care of the mailing itself.  Jean has already provided the Treasurer's report.
  • Peter will contact the town to reserve the town hall and request to have a selectperson on hand to open the meeting.
  • The board agreed to include a request in the letter regarding 4-wheelers speeding, especially on Shorey Brook Hill where wheel spin exacerbates the road condition. Further, the board will buy and install a sign to be installed at the base of Shorey Brook Hill to reinforce this.
  • Board elections will be on the agenda.  All board members present will be standing for re-election.
